I use bullet and numbered lists a lot. They help me to summarise information and make my text stand out. I like to have my list items spaced apart a little, I don’t want them all squashed together. Let me show you how to change the spacing between items in a list. Populous the beginning mac.
Start new list: Starts the numbering sequence over from 1. You might use this to place two numbered lists one after the other. Word will want to continue the second list with the next number in sequence from the previous list; this option tells it not to. Continue from previous list: Tells Word you want to begin your list where the last one. Working with a multilevel list in Microsoft Word and your tab key isn’t allowing you to change list levels the way you’d like it to? It’s a frustrating problem, with a solution that is thankfully quite simple. Go to the ‘File’ tab, and click on ‘Options’. From the list on the left, choose ‘Proofing’.
Paragraph spacing is a great way to add a little more space between your paragraphs. I use this feature constantly so here comes the annoying part. When you apply paragraph spacing to a bullet or numbered list, sometimes the spacing is only applied above or below the entire list, not in between each item within the list.
Let me show you the little checkbox responsible for this annoyance and how you can fix it in a few seconds!

- You can now either create a very simple bullet list or open an existing document which already contains a list. Remember to use your shortcuts! Ctrl + O to go to the Open screen in backstage view or Ctrl + F12 to bypass backstage view and display the Open dialog box.
- Highlight all items within your list:
- Select the Layout tab from the Ribbon
- From the Spacing group use the up and down arrows to increase or decrease the Before and After spacing as needed. By default these increment by 6pt at a time. If you want to make it a different value, simply type in the spacing you’d like e.g. 8 and add the pt to the end for the measurement.
- You will see the spacing is only being applied above the list and/or below the list, not in between each item.
- To fix this, click the dialog box launcher to open the Paragraph Settings dialog
- From the Paragraph dialog box, find the Spacing section towards the bottom and you should also then see a checkbox titled Don’t add space between paragraphs of the same style
- Untick this checkbox
- Click OK
- We have now applied the Before and After spacing to every item within the list:

When working in Office 2011 for Mac, you’ll likely need to know how to create a multilevel numbered list in Word 2011. The easiest way is to start with a list that’s been indented with tabs. In a multilevel numbered list, a number denotes each new item in the list. Indents invoke formatting rules for sub-numbering.

Clicking the button displays the Multilevel List gallery. Choose a multilevel style from Current List, List Library, or Lists in Current Documents.

You can create your own multilevel list formats. Choosing the Define New Multilevel Listoption on the Multilevel style palette displays the Customize Outline Numbered List dialog, which lets you customize multilevel lists and outline styles by level.
From the Level list, choose which indentation level you want to format.
In the Number Format area, choose from the following options:
- Enter a potential number candidate, such as a letter or number from your keyboard, in the text box.
- Choose a style from the Number Style pop-up menu.
- Use the Start At Spinner if you want the numbered list to start at a number other than 1 or letter a.
- Select a level from the Previous Level Number pop-up menu to bring the number format from the chosen level to the level you’re formatting.
- Click the Font button to display the Format Font dialog. Choosing this applies formatting to the level being formatted, not the Previous Level.
Under Number Position, you find these options:
- Choose Left, Centered, or Right from the pop-up menu to change the alignment.
- Use the Aligned At spinner control or type into the input box to set the number position alignment.
